Each organisation profile has a list of key appointees which are only visible to users with access to view the Directory. Having a list of current appointees allows World Scouting to keep an official record and to provide the opportunity for people to network and connect with each other.
In general, the standard appointment titles to assign to a person on the Directory are generic and adaptable to your NSO’s context. These include standard appointment titles such as Secretary General, Chief Commissioner, Chief Scout, Youth Programme, etc.
The below standard appointment titles in the Directory have key roles with WOSM:
- International Commissioner - typically official contact with WOSM
- WOSM Annual Registration Fee - to receive fee invoice for processing (can only be one person)
- Members Portal Admin - is admin for updating NSO information on the Directory and Data Portal
- Safe from Harm - is Safe from Harm coordinator required as part of annual reporting
- Scout Donation Platform - is admin for helping to approve and process projects
- Topic areas (ie Youth Programme, Adults in Scouting, Communications, Growth, JOTA-JOTI, Partnerships and Resource Mobilisation, Messengers of Peace, SCENES, etc) - are individuals specialised on the topic area to be point of contact, act as the coordinator of the area of work for the NSO or who should join networks established as communities of practice
Official Contacts
Each organisation should have a maximum of one or two official contacts with WOSM (identified by the asterisk). Review this article to learn more.
Managing appointees of your NSO
The list of appointees can be managed from the edit view on the organisation profile, and found on the appointee tab.
Adding or editing an appointee
If your appointee does not yet have a person profile in the Directory, you must first create the person profile and at the same time add their appointment. This appointment will then appear on your organisation’s appointee list.
If your appointee already has a person profile in the Directory, their appointment can be added to the organisation’s appointee list from the organisation profile page. If they already exist in the Directory, you can select to “add appointee” from the organisation profile page, enter the name to select the correct person and then add the appointment title.
Appointee vs Person
On the Directory, appointments are associated to a person and each individual person in the Directory has a unique profile. When an appointee changes in your organisation, you need to remove the appointment from the previous person and add the appointment to a new person. Do not edit the person profile to change the name of the person to the new appointee’s name.
If a relevant appointment title is not listed under “standard title”, please use “other" and specify the title under “English directory title" when adding the appointment.
Data Privacy
Data privacy is important, before adding any personal data on the Directory please ensure you have obtained consent inline with your local legislation.
Removing an appointee
This can be easily done through managing the list of appointees on an organisation’s profile by “trashing” an appointment. If you are removing the only/last appointment of a person in the Directory, the person’s profile will no longer be visible in the Directory.
If the person’s profile is also synced with our ID management system, then any access rights to the Directory given to that person’s user account will also be revoked.
Reordering list of appointees
The list of appointees can be reordered to any preference of the organisation, such as hierarchal, alphabetical, etc. Simply press the up and down arrows beside the appointment title and person’s name in the appointee list to adjust the order of the appointees.
